Viewing Medical Student Performance Evaluations
Students are encouraged to review their Student Clinical Performance Evaluations periodically to become aware of personal strengths and weaknesses. Student Clinical Evaluations are available online through ESS and they are also collected in individual folders in the SAO.
Allow six to eight weeks after the clerkship has ended for course chairs to submit the evaluations to the Student Affairs Office. You will know if an evaluation has been submitted if there is an asterisk next to a rotation on your schedule in ESS.
Linda Cuesta, in the Student Affairs Office, will follow-up on evaluations for required clerkships that have not been submitted six weeks after clerkship has ended.
Viewing Required Evaluations On-Line
- Login to ESS
- Select “View Student Evaluation” button
- Click “Select” button next to evaluation to open
Duplicate Evaluations:
- Occurs when the course chair submits a Revision
- Reason for the Revision will be noted to the right of the most recent evaluation
- “Revised Grade”
- “Revised Comments”
- “Revised Check Box”
- “Revised Letter of Distinction”
- Or any combination of the above

- This assessment is not a part of your official record in Student Affairs.
- The Office of Medical Student Affairs does not have access to these assessments.

Viewing Elective Evaluations On-Line
- Please allow four weeks after your clerkship has ended for course chairs to submit your evaluations to the Student Affairs Office.
- You know an evaluation has been submitted when there is an asterisk ( * ) under the Grade Column (located just left of the course number). If you do not see an asterisk it means the evaluation may not have been received or processed.
- AWAY, RESEARCH and SPECIAL ELECTIVE evaluations ARE NOT submitted electronically and therefore you are NOT able to view them in ESS and must come into the SAO to read them. You will know if the SAO has received the evaluation if you see an asterisk ( * ) next to the rotation in question.
You are strongly encourage to assist in following up on the submission of your elective clerkship evaluations. If your evaluation has not been submitted, four weeks after the clerkship has ended, you should contact the student coordinator (contact information found in the Handbook of Courses for Fourth Year Medical Students) to remind them.
Suggestion, before calling the student coordinator(s) please double check ESS to see if the evaluation (look for an asterisk not necessarily the evaluation) has been received by the SAO. If it’s an away elective evaluation you’re still missing, contact the visiting student coordinator and ask him/her to fax the completed evaluation to our office (310/794-9574).

Viewing Evaluations in the Student Affairs Office
- Check to see if your evaluations have been submitted by looking at your schedule in the binder located on Linda Cuesta’s desk. The binders are labled by class.
If there is a red check or an asterisk next to a rotation on your schedule, an evaluation for that course has been submitted to the SAO and the evaluation is in your clinical file, available view in the SAO and on the web if it is a required clerkship. - Ask any staff member in the SAO to pull your clinical evaluation file. To preserve the confidentiality of these records, students are not allowed to pull files.
- Return your evaluation file to area labeled “Re-file Section."
Note:
Clinical files may not be removed from the SAO and evaluations in the files may not be removed from the Student Affairs Office. You may make copies of anything in the file.
