Course Chair Responsibilities

  • Must have a UCLA faculty appointment
  • Attend monthly Clerkship Chair and third year Progress and Promotion Meetings.
  • Oversee and coordinate education at all clerkship sites.
  • Notify the Student Affairs Office of clerkship chair, clerkship site director and/or student coordinator changes.
  • Inform the Student Affairs Office (SAO) of student “no shows” on the first day of the clerkship or orientation.
  • Inform the Student Affairs Office of unusual situations, unexcused absence, a student having difficulties while on the rotation.
  • Submit Final Summative Student Evaluations to the SAO, through ESS within six weeks of the conclusion of the clerkship.  As course/clerkship chair, you are responsible for reviewing and submitting final student evaluations from all sites.
  • Send copies of Letters of Distinction to Linda Cuesta (310-206-0245) in the SAO.  Letters of Distinction may only be awarded for required courses of three weeks duration or longer.
  • Keep copies of final summative evaluations for a minimum of five (5) years.  If evaluations are submitted through ESS there is no need to keep paper copies.
  • IMMEDIATELY inform the student in writing (preferably e-mail) when he/she has failed any portion (clinical or written) of the clerkship.  Copy Linda Cuesta, Gezelle Miller and Dr. Neil Parker on the letter/e-mail.
  • Provide the Evaluation office with changes to the faculty rosters for each site and rotation.  Send information to Gary Diener at gdiener@mednet.ucla.edu.
  • Changes to the faculty rosters need to be sent to Gary Diener (gdiener@mednet.ucla.edu) at least one week prior to the end of the rotation to allow for evaluations to be programmed by the last day of the rotation.
  • Monitor students’ entries of patients seen in the PDA database.  Help students or encourage them to ask for patients in areas they haven’t had experiences. You will receive PDA data for all of your students’ mid-clerkship.  If you do not receive this information, contact Katherine Wigan (kwigan@mednet.ucla.edu, 310-794-9008).
  • As the course chair for a required clerkship you automatically become a member of the ReqCrsChairs listserv (e-mail list) which is only used to support official curricular and administrative communications.
