Site Director Responsibilities

  • Must have a UCLA faculty appointment
  • Attend monthly or bimonthly Clerkship Meetings if requested by the clerkship chair to represent the clerkship.
  • Oversee and coordinate education at your site.  Inform housestaff of their responsibilities regarding medical student instruction.
  • Notify the SAO of site director, course chair and/or student coordinator changes at your site.
  • Inform the SAO of student “no shows” on the first day of the clerkship or orientation.
  • Inform the SAO of unusual situations, unexcused absence, a student having difficulties while on the rotation.
  • Submit Summative Student Evaluations, through ESS, for Course Chair to review.  Evaluations are due in SAO within six weeks of the conclusion of the clerkship. 
  • Keep copies of final summative evaluations for a minimum of five (5) years.  If evaluations are submitted through ESS there is no need to keep paper copies.
  • Any student whose clinical performance is determined to be marginal or failing should be IMMEDIATELY informed in writing.  The course chair of the clerkship should also be notified. 
  • Provide the Evaluation Committee office with changes to the faculty rosters for your site.
  • Changes to the faculty rosters need to be sent to Gary Diener (gdiener@mednet.ucla.edu) at least one week prior to the end of the rotation to allow for evaluations to be programmed by the last day of the rotation.
  • Monitor students’ entries of patients seen in the PDA database.  Help students or encourage them to ask for patients in areas they haven’t had experiences. You will receive PDA data for all of your students’ mid-clerkship.  If you do not receive this information, contact Katherine Wigan (kwigan@mednet.ucla.edu , 310-794-9008).
  • As the site director for a required clerkship you automatically become a member of the ReqCrsChairs listserv (e-mail list).  This list is only used to support official curricular and administrative communications.
